Team Assistant & Office Coordinator

A highly successful consultancy firm are looking for a Team Assistant and Office Coordinator. This is a newly created role for this growing business, meaning there is ample opportunity to take on further duties down the line and grow your career. No two days are the same and would suit an ambitious candidate who wants to develop their PA skills long term

Working closely with two senior EAs, your role will be very busy and varied, including:


Office Coordination:

  • Office administration (couriers, receiving deliveries, answering the telephone, ensuring. the meeting rooms are presentable and always updated with essentials)

  • Manage shared company inboxes

  • Filing and archiving corporate records, documents and reports

  • Meet and greet clients and visitors

  • Approving invoices related to office facilities

  • Managing relationships with landlord, building management and suppliers to ensure that all services are delivered on time and within budget

  • Responsible for the management of Health and Safety/First Aid and other compliance

Team Assistant:

  • Travel arrangements for staff other than senior management on travel platform if needed

  • Provide sophisticated diary management across multiple time zones (arranging meetings and business events).

  • Act as a liaison and provide support to the Executive team.

  • Complex global travel arrangements including hotel reservations, transfers, visas, flights, trains, preparation of itineraries/travel packs and assisting colleagues from abroad with travel arrangements

  • Co-ordinating internal/external meetings, including researching and booking external reservations for client lunches, meetings and functions

  • Monthly expenses reconciliation for the team

  • Organising office social events (including monthly brunches and drinks)

Skills and experience required:

  • Ideally some experience in a fast-paced corporate office environment or 5* client-facing environment

  • A personable, pro-active and conscientious individual with a muck-in attitude

  • A natural relationship builder with strong multitasking and organisation skills

  • A self-starter, able to think ahead and be adaptable and understand the importance of discretion

  • Have strong multitasking skills and the ability to prioritise effectively
